Cancellation Policy

Purchaser understands that upon entering a registration agreement, AASPA is committing time and resources to this registration and thus cancellation would result in lost time and income. Once you register for membership or an event, you are subject to the following Cancellation policies and are responsible for prompt payment . 

All cancellations/refund and transfer requests must be sent in writing; requests will NOT be accepted via phone. Email us at emily@aaspa.org with your name, event you are registered for and reason for canceling/transfering. 

87th Annual Conference Cancellation Policy

Cancellation Policy: All registration cancellations (invoice, credit card or ACH) must be made in writing & received no later than August 8, 2025 to receive a refund. A refund of the registration fee, minus a cancellation fee of $100, will be given for cancellations received by August 8, 2025 and will be processed by November 30, 2025. Refunds are not granted for failure to attend, late arrival or early departure, state or district travel restrictions, airline cancellations or delays, medical or weather-related cancellations. AASPA is not responsible for airfare, hotel or other costs associated with the conference if the registrant is unable to attend or if the event is rescheduled or transitioned to virtual. Purchase orders are accepted as a courtesy to AASPA Members ONLY through August 1, 2025 and are considered a guarantee of payment within 30 days. Any cancellation of a registration guaranteed with a purchase order is subject to the same cancellation policy. I understand that by selecting “Complete Registration” and/or choosing to be invoiced, I agree to the above cancellation policy and will pay the open invoice within 30 days. No registration refunds will be issued for cancellation requests made after August 8, 2025Membership, evening events and meal tickets are non-refundable.

PLEASE NOTE: AASPA will accept purchase orders for AASPA members in lieu of payment through August 1, 2025. However, all registrations must be paid within 30 days regardless of purchase order. After 30 days your registration will be canceled. After August 1, 2025 all registrations must be paid with a credit card at the time of registration. After September 1, 2025 any registration transferred to another individual will incur a $50 transfer fee. Any registrations made onsite at the event will incur an additional $50 onsite registration fee. 

 AASPA allows purchase orders and invoicing as a courtesy for members of AASPA only through August 1, 2025. Please note, if you are choosing to be invoiced instead of paying with a credit card at the time of registration, AASPA will charge a $30 convenience fee to all event invoices. This is to cover staff time and fees involved in processing invoiced payments and/or tracking outstanding accounts receivable. If you choose to pay with a credit card at the time of registration, you will NOT be charged a convenience fee. All open invoices are due within 30 days of registration. After 30 days unpaid invoices will be canceled. 


Attendee Event Transfer Policy

Event Attendees may transfer their registration to another AASPA attendee using the following guidelines. 

  • If the new event rate is less than the original rate (Non-member transfers to a Member), a refund will NOT be issued. 
  • If the new event rate is more than the original rate (Member transfers to a Non-Member), the difference must be paid in full before the transfer is complete. 
  • Attendees are able to transfer their registration to another registrant for free until September 1, 2024. After the deadline, event transfers will incur a $50 fee. 
Equity in Action Summit Cancellation Policy

Cancellation Policy: All registration cancellations must be made in writing & received no later than Friday, February 21, 2025 to receive a refund.  No refunds will be issued for cancellation requests made after February 21, 2025. All refunds are subject to a $100 cancellation fee. Refunds are not granted for failure to attend, late arrival or early departure. AASPA is not responsible for medical, weather or technology related cancellation or other costs associated with the event if the registrant is unable to attend. Purchase orders are accepted as a courtesy and are considered a guarantee of payment. Any cancellation of a registration regardless of payment or invoice will be subject to the same cancellation policy including the cancellation fee. No refunds will be issued for cancellation requests made after the deadline of February 21, 2025.

Exhibitor Cancellation Policy

No refunds will be issued for booth cancellations.

Human Capital Leadership Summit Cancellation Policy

All registration cancellations must be made in writing & received no later than Friday, October 25, 2024 to receive a refund. A refund of the registration fee, minus a cancellation fee of $100, will be given for cancellations received by October 25. Refunds are not granted for failure to attend, late arrival or early departure, state or district travel restrictions, medical or weather-related cancellations. AASPA is not responsible for airfare, hotel or other costs associated with the conference if the registrant is unable to attend or if the event is rescheduled or transitioned to virtual. I understand that by selecting “Complete Registration” I agree to the above cancellation policy. No refunds will be issued for cancellation requests made after the deadline of Friday, October 25, 2024. 

Membership Cancellation Policy

No refunds will be issued for memberships. Memberships are transferable for individuals leaving their district/company. Please reach out to Morgan Schultz at morgan@aaspa.org for more information. While purchase orders are accepted for membership, membership is not considered renewed or approved until a check or credit card payment is received. 

National Educator Shortage Summit Cancellation Policy

All registration cancellations must be made in writing & received no later than Friday, January 24, 2025 to receive a refund.  A refund of the registration fee, minus a cancellation fee of $100, will be given for cancellations received by January 24, 2025.  Refunds are not granted for failure to attend, late arrival or early departure, state or district travel restrictions, medical or weather-related cancellations. AASPA is not responsible for airfare, hotel or other costs associated with the conference if the registrant is unable to attend or if the event is rescheduled or transitioned to virtual. I understand that by selecting “Complete Registration” I agree to the above cancellation policy. No refunds will be issued for cancellation requests made after the deadline of January 24, 2025. 

pHCLE Training/Exam Cancellation Policy

Please note there will be no refunds for pHCLE Training or Exam once registration has been submitted. Registration for training is non-transferable to other training dates and times. Refunds will not be given to individuals who fail to complete the pHCLE exam during their selected window. Transferring to a different testing window will be permitted once upon request. Requests must be made in writing to kelly@aaspa.org before the last day of your current testing window.

School HR Summer Boot Camp Cancellation Policy

All registrations cancellations must be made in writing & received no later than Friday, May 3, 2024 to receive a refund. A refund of the registration fee, minus a cancellation fee of $100, will be given for cancellations received by May 3, 2024.  Refunds are not granted for failure to attend, late arrival or early departure, state or district travel restrictions, medical or weather-related cancellations. AASPA is not responsible for airfare, hotel or other costs associated with the conference if the registrant is unable to attend or if the event is rescheduled or transitioned to virtual. I understand that by selecting “Complete Registration” I agree to the above cancellation policyNo refunds will be issued for cancellation requests made after the deadline of May 3, 2024.

School HR Winter Boot Camp Cancellation Policy

All registration cancellations must be made in writing & received no later than Friday, December 13, 2024 to receive a refund.  A refund of the registration fee, minus a cancellation fee of $100, will be given for cancellations received by December 13. Refunds are not granted for failure to attend, late arrival or early departure, state or district travel restrictions, medical or weather-related cancellations. AASPA is not responsible for airfare, hotel or other costs associated with the conference if the registrant is unable to attend or if the event is rescheduled or transitioned to virtual. I understand that by selecting “Complete Registration” I agree to the above cancellation policy. No refunds will be issued for cancellation requests made after the deadline of December 13, 2024. 

Virtual Event Cancellation Policy

Virtual event cancellations will not be accepted. All registrants will receive a recording and event materials regardless of attendance.

Webinars

Webinar cancellations will not be accepted. AASPA members will receive access to the recording and event materials regardless of attendance.
